Trade Portal User Guide
Welcome to Craft Drink Trade Portal, designed to make selecting and ordering your drinks quicker, easier and more informed.
This simple User Guide explains some of the ways you can get the most from our Trade Portal.
Searching for a brand or drink
There are various ways to search our portfolio of drinks.
- You can search by selecting a drinks category from the navigation (e.g. beers, ciders & perry, etc) and within these categories, from the sub-categories (for example for beer select from ales, lagers, No & Low etc). When you search, nine drinks will present and you can select to show the next nine, and so on.
- You can use the Search Bar – Try searching for …
- A brand … such as Arbor
- A drink type … such as Gin
- Any key word … such as Tonic, or IPA
Within any presentation of drinks, you can then sort the results by …
- Brand (A to Z)
- Product Name (A to Z)
- Price (High to Low)
- Price (Low to High)
Product Families
Where the same liquid appears in different pack sizes and formats, we have grouped these into ‘Product Families’, so that you can see and select the different pack formats in one view.
Creating your favourites
You can tag your favourite drinks and present these on screen for ease of ordering. You might use the ‘Favourites’ facility to tag all the drinks you order regularly, so you can bring these drinks to screen in one click, to make re-ordering even easier.
Understanding Availability
Our current level of availability is shown for every drink as follows –
- In Stock
- Coming Soon - we have this item on order and are expecting it back in stock soon
- Out of Stock - we either need to place our order to replenish this item, or this item is currently unavailable from the drink producer.
Stock Levels for ‘Families’ of drink are shown in the Family Matrix – click within the Order Box to see the level of availability for that item in the Product Family.
Our stock levels vary in real-time, so it can be that whilst the item shows In Stock online, demand for that drink might make the item Out of Stock by the time we receive and pick your order. We work hard to ensure we have enough stock to fulfil all our customer orders but there will be occasions when this is not possible. We are able to fulfil back orders – please see below.
You CAN add items that are Out of Stock to your basket, and Checkout with Out of Stock items.
Deleting Out of Stock items & Back Orders
We have the ability to hold details of items we were not able to deliver at the time we fulfilled most of your order, and we will make every effort to ensure you receive back-order items as soon as possible.
Please let us know if you prefer NOT to receive back orders. In these cases, you can remove items Out of Stock from your order when you check out your online order by Deleting Out of Stock items.
If items are Out of Stock, please consider searching for and selecting alternative items.
Checking Out
Once you have completed selecting your items required, select Checkout
Within your Shopping Cart you can
- Increase or reduce quantities of items
- Delete items
- Retain or Delete Out of Stock Items in your Shopping Cart
- Place a comment beside an item – for example, you can stipulate whether you would a like an alternative item or to wait for an Out of Stock Item to return before being delivered.
- Return to the Online Shop by selecting Continue Shopping
- Or Checkout
Once you have selected to Checkout, you can review and re-set the following:
- Your Account & Billing Details – confirm or change your billing address
- Your Delivery Details – confirm or change your delivery address
- Your preferred Shipping Method – see below
- Your preferred Payment Method – see below
Selecting your Shipping Method
You can choose from the following Shipping Methods:
- Delivery by Craft Drink Co van – generally free delivery if you meet our MOQs
- Delivery by Courier (for wines and spirits only, subject to £220 ex VAT MOQ for free delivery – otherwise charges may apply)
- Delivery by Pallet (for all drinks, subject to £600 ex VAT MOQ for free delivery – otherwise charges may apply)
- Collection – you are welcome to collect from us.
We recommend you select the normal method by which we deliver to you. However, if you select an alternative Shipping Method, we will contact you to confirm. Please note that delivery charges may apply if you select an alternative Shipping Method.
If items you have ordered are Out of Stock, you can specify whether you want us to –
- Make a Single Delivery; delay whole order until items are in stock
- Make Multiple Deliveries; ship all available items now, ship currently unavailable items later
Selecting your Payment Method
When Checking Out, you can select your preferred Payment Method.
- Pay our Pro Forma Invoice before delivery
- Charge the Invoice to your Craft Drink Co Trade Account
- Pay Cash / Cheque on delivery
Confirming your order
For final confirmation of your order, you can also:
- Issue a Purchase Order number which we include on our paperwork
- Provide a contact telephone number
- Indicate a Preferred Date Required
- Make any additional comments beside each item
- Make any general notes or instructions on the order
- Add an Attachment
Submitting your order
On submitting your order, you will receive an automatic Email Confirmation that your order has been sent.
We will then process your order and issue a further Manual Confirmation that your order has been received.
Important – if you do not receive our Manual Confirmation that we have your order, please let us know in advance of your usual delivery date.
Managing My Account
You can manage your account with Craft Drink in various ways through our Trade Portal.
Manage your Addresses
You can amend your Billing and Shipping Addresses and add / delete addresses.
Manage your Orders
You can see a detail of your previous orders.
- Date of order
- Order Number and Invoice Number
- Total value
- Payment Status - whether Paid or Unpaid
- Fulfilment Status - Whether Fulfilled or Not Fulfilled
From this point you can also -
- Reorder to repeat a previous order. You can then amend the order through your Shopping Cart.
- View Notes that you had placed on previous orders.
- Retrieve the Invoice for an order by sending a Copy Invoice to your chosen email address.
- Export details of selected orders to a CSV file.
Quick Order
Through our Quick Order facility, you can either
- Use our Quick Order Search facility to search, find and select an item to add to your Shopping Cart. If you know the names of the drinks you wish to purchase, this is a quick method of selecting these drinks.
- Download a CSV file of all our products. Make your quantity selection, save the CSV file and Upload to our Portal.
You can use both the Quick Order and Bulk Order facilities simultaneously, to add to a single Shopping Cart.
Bulk Orders
Our Bulk Order facility gives you the ability to search our portfolio of Product Families and make selections of drinks from these families in the most time efficient way. Please take care – not all drinks from a single brand will feature within a Product Family.
You can use both the Quick Order and Bulk Order facilities simultaneously, to add to a single Shopping Cart.
Change Password
You can change your password through our Trade Portal.
